Things
A thing is anything you keep: a note, a list, a recipe, a plan, a photo, a file. Each has a name, an icon and Markdown content, and each can hold sub-things, so a workspace grows into a tree you arrange however you like.
What a thing is
| Part | What it is |
|---|---|
| Name | Up to 200 characters. Shown on the tile and at the top of the thing. |
| Icon | An emoji, an uploaded image, or a few characters of text. ๐ when there is none. |
| Color | An optional accent for the thing's card and its sub-thing badge. |
| Content | Markdown, up to 50,000 characters. See Writing content. |
| Tags | Words that group things across folders and workspaces, up to 500 characters in all. |
| Sub-things | Things inside this thing, as deep as you like. |
| Marks and comments | Emoji reactions and a discussion, from you, other members and agents. |
A thing also knows its place among its siblings, which is the order tiles appear in. Some things take a kind from their content: a thing whose whole content is a YouTube link becomes a video, one that is a Google Maps link becomes a map, and an uploaded file makes an attachment. Each shows its video, map or file card at the top of the page.
Add a thing
New things open as an empty card ready to fill in.
- On the workspace grid, click the โ under the tiles, or press
+. - Type a Name, then the content. Add an icon, a color and Tags if you like.
- Click ๐พ (or press
Ctrl/โEnter) to save. The new thing opens.
Add a sub-thing
Open a thing and click the โ under its sub-things (Add sub-item), or press +. With more than 12 sub-things, the โ moves into the grid as its last tile, Add.
Other ways in
Agents create things through a connection, AI Mode creates them when you ask (see Find things), Slack's Save as thing turns a message into one, and on Android you can share text, links and images to Everythings from other apps.
Edit a thing
Click โ๏ธ at the top of the thing, or click its content, to start editing. Selecting text to copy doesn't open the editor.
Name, content and tags
The editor shows the Name field, the content (see Writing content) and the Tags field. Separate tags with commas or spaces. Tags are saved in lowercase and show as chips such as #recipe under the content; a chip opens every thing carrying that tag.
Icon
Click the icon beside the name. The Icon picker has three tabs:
- Emoji: pick one.
- Upload Image: use a picture as the icon. Its Fallback emoji shows wherever the image can't load. Clear Image removes it.
- Text: type a few emojis or characters.
Color
The swatch beside the name sets the thing's accent color: a preset, a Custom color, or a hex code. Default uses the workspace's accent. The color tints the thing's card edge, its header and its sub-thing badge.
Saving
With auto-save on (the default), edits save as you type and the header button reads Savingโฆ, then Saved; click it (Done editing) to stop editing. With auto-save off, click ๐พ or press Ctrl/โ Enter. A new thing always saves with ๐พ. Details in Writing content.
The thing page
Opening a thing shows it as a card over the workspace, with its wallpaper behind.
The header
From left to right: the โฎ menu, a grid button back to the workspace, the parent thing, and the thing's name when it fits. On the right sit the marks, the โญ for Faves, โ๏ธ to edit, ๐ฌ for comments (with a count once there are any) and โ to close. When you scroll a long thing, the header shrinks to โฎ and โ.
The body
- The name and icon, large, when they don't fit in the header.
- A reading time such as 6 min read on things of 1,000 words or more.
- On this page: an outline of the content's headings, shown when it has two or more. Click one to jump to it.
- The content, with checklists you can tick right there.
- A question from an agent, when one is waiting, with a place to answer. See Questions, inbox & @Agent.
- A footer line: which agent wrote or last changed the thing (โฆ and its name), and when it last changed, such as 2 days ago, with the full date on hover. A thing with sub-things and little text of its own leaves the date off.
- The sub-things, as tiles, with the โ to add one.
- The comments, opened with ๐ฌ. See Comments & mentions.
- A bar saying the item is public, when it has a public link.
Move between things
On wider screens, round buttons on the card's left and right edges show the previous and next thing at the same level; hover one to see its name. Press โ or โ for the same. On a phone, swipe the card sideways. Esc, โ or a click outside the card closes it and returns you to the parent; Backspace also goes up a level.
Visits
Opening a thing on the web or in the phone app records a visit. The apps don't display visits, but a connected agent can see whether someone opened a thing since it asked a question there.
Tiles
On the grid and among sub-things, each thing is a tile: its icon and name, plus small badges that tell you about it without opening it.
| Badge | Means |
|---|---|
| Number at the bottom right | How many sub-things it holds. |
| โถ๏ธ ๐ ๐ at the top right | A video, a map or an attachment. |
| Emojis along the top | Its marks, the โญ among them, filling from the right. |
| ๐ among the marks | An agent run has claimed it while it works on it. |
| โฆ at the bottom left | An agent wrote or last changed it. Hover for the agent's name. |
| โ at the bottom left | An agent is waiting for your answer to a question here. |
Peek inside
Rest the pointer on a tile. A ring fills over its icon, then a panel shows the first lines of its content and up to 9 of its sub-things. Move away to close it.
Organize things
Drag tiles to put things in order, nest them, or lift them out. Everyone in the workspace sees the new arrangement.
Drag and drop
- Reorder: drag a tile into the gap between two others.
- Nest: drop it on the middle of another tile. The target lights up, and the thing moves inside it.
- Move up a level: on a thing page, drop a sub-thing on the background outside the card. It moves out to sit beside the thing you are viewing.
- Trash or duplicate: while you drag, a red trash target appears at the bottom right and a blue duplicate target at the bottom left. Drop on one.
On a touch screen, hold a tile for a moment before dragging, so a quick swipe still scrolls. From the keyboard, focus a tile and press Space to pick it up (see Keyboard shortcuts).
Select several at once
Press and hold a tile without moving, then release. Selection mode starts and a bar shows how many are selected. Tap more tiles to add or remove them, then choose Duplicate or Delete for all of them. The โ on the bar (Clear selection) or Esc ends it.
Duplicate
Duplicate in the โฎ menu (or the duplicate target) copies a thing with all its sub-things. A picker titled Duplicate this item into: asks where:
- Current parent: beside the original.
- A workspace name: at that workspace's top level.
- The arrow beside a workspace: browse into it, step down through its things, and choose Duplicate into the one you want.
Large icons
Switch to Large Icon View in a thing's โฎ menu shows its sub-things as big covers standing on a shelf, which suits photos and collections. Switch to Normal View goes back. The view is saved with the thing, so everyone sees it the same way.
The โฎ menu
The โฎ at the top left of a thing holds these items.
| Item | What it does |
|---|---|
| Switch to Large Icon View / Switch to Normal View | Show the sub-things as big covers, or as normal tiles. |
| Duplicate | Copy the thing and its sub-things to a place you pick. |
| Copy as Markdown | Copy the thing, its sub-things, marks and comments to the clipboard as Markdown. |
| Download .md | Save the same Markdown as a file. |
| Add Attachment | Attach a file or a link as a new sub-thing. |
| Share public link | Make a read-only link anyone can open. See Public links. |
| Clear claim | Release an agent run's hold on the thing. Shows only when a claim can be cleared. |
| Delete Item | Move the thing and its sub-things to Trash. |
| Create Custom Mark | Add a mark that isn't among the workspace's defaults. See Marks. |
The Markdown export includes the thing and every sub-thing beneath it, each as a heading with its content, marks and comments. Public links and Writing content cover sharing and attachments.
Trash
Deleting moves a thing and everything under it to the workspace's Trash, where anyone in the workspace can bring it back.
Delete
Choose Delete Item in the โฎ menu, press Delete on the open thing, or select several tiles and choose Delete. A dialog says the item and its sub-things will be moved to Trash; confirm to delete. Dropping a tile on the trash target while you drag deletes it at once, with no dialog.
The Trash bar
While Trash holds anything, a bar at the bottom of the workspace grid shows how many items are in it (for example ๐๏ธ 3 items in trash):
- Restore all puts everything back.
- Empty deletes everything in Trash permanently, after you confirm.
- Click the count to open the ๐๏ธ Trash page, which lists each deleted thing with its own Restore button and an Empty trash button at the foot.
How restore works
- Restoring a thing brings back everything that was deleted with it, with content, marks and comments.
- A sub-thing restored on its own, while its parent is still in Trash or gone, comes back at the top level of the workspace.
- A thing in Trash can't take new sub-things.
Emptying Trash can't be undone. Agents can move things to Trash and restore them, but only a person can empty it.
Questions
How deep can things nest?
As deep as you like. Every thing can hold sub-things, and each of those can hold more.
How many things can a workspace hold?
500 things on Free and 20,000 on Plus, counted on the workspace owner's plan. Things in Trash count too, so emptying Trash frees room. See Plans & limits.
Can I get a deleted thing back?
Yes, until Trash is emptied. Deleting moves a thing and everything under it to the workspace's Trash; Restore puts it back with its content, marks and comments.
Can I move a thing to another workspace?
On the web, use Duplicate and pick the other workspace (or a thing inside it) as the destination, then delete the original; dragging on the web moves things within one workspace. In the phone app, carry a tile to the edge of the screen until the next workspace slides in, and drop it there. See The phone app.
Who can edit or delete a thing?
Everyone in the workspace can add, edit, move, duplicate, delete and restore any thing in it. Only a workspace that is over its plan's limits turns read-only.
What does โฆ Claude Code under a thing mean?
An AI agent you connected wrote or last changed that thing, working as you. Hover the label for the details. See Connect an agent.
Can other people see when I opened a thing?
The apps keep visits out of sight. A connected agent can check whether a thing was opened since it asked a question there, so it can wait for you before asking again.
